Job Description



A leading Real Estate Company is looking for Leasing Coordinator as per the following details:


ESSENTIAL DUTIES AND RESPONSIBILITIES.

1. To comprehensively oversee the administrative and financial aspect of the leasing department. Develop and implement new standards to ensure smooth and effective operations.
2. To ensure that tenant has submitted the required report on a timely manner and as per the format specified on the signed lease agreement.
3. To ensure that tenant furnished the required document in accordance to the signed lease agreement.
To ensure that tenant queries and various requests has been addressed and resolved in reasonable time.

4. To ensure that all means of communication with the tenant must be in a professional manner.
5. Check emails received, recognize priorities and initiate response or direct the issues to concerned person/department.
6. Constant follow-up on outstanding issues such as but not limited to the following:
• Lease renewal
• Continuous rent
• Rent balance
• Percentage rent invoice
• Annual marketing fund
• Pending sales report
• Pending legal documents
• Pending payment
• Bounced cheque
• Document for tenant’s signature
• Other issues which may arise from time to time

7. Procedure on receiving of new lease rent payment:
• Issue the receipt voucher
• Update the lease summary
• Update the retail report
• Prepare lease update form
• Record the receipts to receipt voucher summary
• Forward the cheque to Accounts department with supporting document
• Send notification email for payment received
• Send request to Retail Manager for preparation of lease agreement
8.Procedure on receiving of new tenant/lease agreement/lease addendum documents from leasing:
• Verify the documents received
• Prepare file notes
• Prepare lease update form
• Record new tenant on the following report/list:
• Create new folder on “Retail Communication with Tenants”
• Master file
• Retail report
• Lease summary
• Tenants annual sales report
• Contact list
• Legal document
• Sales report follow-up log
• Tenant file master list

9.Procedure on preparation of company contract:
• Send the step-by-step process to tenant upon receiving the requests
• Verify the tenant’s legal document and required them to submit the pending/expired documents
• Send the contract for tenant’s signature and stamp
• Send the contract for landlord’s signature and stamp
• Released the duly signed and stamp contract

10. Responsible for systematic maintenance of tenant’s file/records
11. Monthly Duties
• Send email follow-up for sales report
• Analyze sales report to obtain potential percentage rent receivables
• Send email follow-up for legal documents
• Send new lease offer and payment notification to tenant
• Provide the financial information for monthly report
