Job Description
A leading Kuwaiti Holding Group is looking for Chief Administrative Officer / Head of Administration as per the following details:
Reporting to the Managing Partner and CEO to ensure the smooth running of the Family Office
Job details:
• Represent the Managing Partner as a first point of contact for individuals both internal and external to the Company
• Manages the Senior team on behalf of the Managing Partner including the Finance department, the Legal department and the Office Manager
• Oversees the diary of the MP to ensure priorities are managed effectively, efficient use is made of time and that there are no overlapping of activities
• Organise various board committees and facilitate and document proceedings and follow up
• Brief the MP before any meetings and ensure appropriate information is available
• Oversees travel requirements to ensure the MP has sufficient time and information
• Ensure that visitors are received within protocols and that appropriate hospitality is provided
• Manage and supervise the coordination organization of events within budget
• Arrange meetings and distribute agendas
• Take minutes for high level meetings and follow up actions
• Ensure the office runs effectively and efficiently
• Compile correspondence on behalf of the Managing Partner
• Ensure queries, correspondence and travel itineraries are dealt with effectively and in an appropriate manner
• Work closely with CFO in setting the budget for the office and then ensure the office spend is within budget
• Manage the purchasing for the office including sourcing vendors, negotiating costs and tracking expenses
• Research and collate information for projects
• Prepare presentations
• Organise various board committees and facilitate and document proceedings and follow up.
Requirements:
• Business management graduate
• Must have experience of working with internal management of a company on the administrative side
• Must have experience of working with a HNW individual
• Organized and methodical
• Flexible, able to work on multiple tasks at the same time
• Excellent written and oral skills in Arabic and English
• Able to produce accurate and well presented schedules, letters and reports
• Excellent skills in Excel and Word
• Very confidential and discreet attitude
• Flexible approach to the working day
• Presentable and professional at all times
